7 ways to show cost cutting and budget savings on your resume

 Most people have no clue how much money they save at the grocery store, much less how much they save at work.  They don’t know their objectives, normal expenses, or budget at work.  The people who worry about the budget at work get all the credit for saving money and time.  It isn’t hard to become a budget and savings guru.  Just ask your managers how much time an average person is supposed to take to finish each project.  Write that number in your job journal.  If your managers won’t tell you, make an estimate, write it down, and see if you can beat it.  Report back the estimate and results.

At your job you can help save money.  You do it by finding out what performance level is expected, then exceeding that level.  If you get your job done in 4 hours instead of 5, you saved one hour for your company.  If you do that every day for 80 work days, you have saved 80 hours of time. That is two work weeks.  You have saved your company two weeks of your wages in 80 days. Put that into dollars and report it on your resume and in your weekly report to your boss.

Here are some more ways to save money and get credit for it:

If the average salesperson is paid $800 each month for expenses and you spend only $600, you will save your company $2400 each year on expenses.  Make sure your boss knows it.  Take credit.

If a project you are on is supposed to take 8 months and it is done in 6 months, you have helped save 2 months of time.  Brag about it. Convert the 2 months into wages for everyone involved and take full credit with your boss and on your resume.

As a network technician you know that last year the network was down 110 hours during work hours.  This year it was only down 10 hours.  You cut network down time by 100 hours.  You also kept 120 clerks from wasting 100 hours.  In other words, you cut wasted clerical time by 12,000 hours as a network technician.  Report the hours and also estimate the savings of a bare minimum of $120,000 to your boss.  He will want to brag about it to his boss too.  When you are looking for a new job, you should be able to go to your job journal and get that number to brag about.

You suggested and/or made a programming change that allowed the company to reassign 3 people to new jobs.  You saved the company the wages of all those people.  Figure it out and take credit for every dollar.  Is it $30,000 x 3 = $90,000 or is it $60,000 x 3 = $180,000 ?  If you tell your boss how much you saved, he may change the number a little, but he will certainly report the savings to his boss.  You should also put it on your resume.

When you show cost cutting and savings on your resume, you prove you are keeping an eye on expenses.  If you can prove even a minor cost saving, it shows that you are interested in something the hiring manager works on every day.  Take the time to keep a job journal tracking the changes you make and the time and money you save. Then put it down on your resume.  It could get you an interview.  It can even get you a job.

How to show ability on your resume

Experts, above average people, and even those below average, all have abilities that are valuable.  You have to know how to show off those abilities. Listing education, training, and courses taken always helps, but there is more you can do.

Are you a superstar?

I’ve known an expert to finish a job alone quicker than 5 competent technicians working together.  In most organizations with 5 salespeople it seems that one of those salespeople always accounts for over half the total sales.  If you can prove you are one of those superstars, you will find it very easy to get a job.  So, prove it.

  • Use numbers and facts, ratings and percentages, to prove you are an expert.
  • 3 short bullet points proving your contributions are better than 3 pages of paragraphs.
  • Put enough proof to force hiring managers to call you.
  • Make that proof the first thing they see under each past job.

Your resume is supposed to get you an interview. Give the necessary information. Don’t hide your expertise in droning paragraphs.

Are you average but valuable?

Let’s take a step back from the lofty pinnacle of being the best. An above average worker is always in demand.  That means you are better than half the people you work with. There are ways to prove that.

  • Again, numbers, statistics, facts and figures will do the job.  Presentation is critical.
  • Put total output figures instead of saying you were 13th out of 35 people.
  • Mention projects or teams you lead that were on time and in budget.
  • In sales mention how often you met quota.  It may only be above average, but it is still impressive.
  • Mention awards, contests you won, and other things that prove you were a valuable average.

Can you prove you are valuable if you are below average?

If you are a below average performer there is still hope.  You need to prove how much you are improving.

  • Have you improved your output or speed by 20%?
  • Is your group finally on track?
  • List training you have taken.

Just the desire to learn makes you better than some of your competition. If you are below average you have to prove your good attitude and your willingness to improve.  Don’t just say, “I want to do…”, say what you did to prove what you “Want to do”.

There is a way to prove your ability no matter what level you are at.  Numbers, figures, awards, accomplishments, learning, attitude, and personal output.

Showing your ability in your resume will get you interviews.

WSJ resume tips for folks over 40

If you are over 40 or 50, your resume may not even get to the 45 second review stage.  You could be tossed out by the receptionist because you are too grizzled and old.

Here are some ideas from a WSJ article on how experienced workers can keep in the running for top positions.

Brass knuckles and the law (and resumes and interviews)

My dad was in court defending a man accused of using a dangerous weapon.  The weapon was brass knuckles. Dad pointed out that the law very specifically defines the weapons to which it applies.  The law mentions a brass device that fits in the palm of the hand for support and goes around the fingers or knuckles to protect the holder and do harm to an opponent.  It was ALMOST a definition of the weapon in this case. Unfortunately the defendant’s brass knuckles were made of aluminum.  The judge had no choice but to dismiss the charges.

Don’t get that precise and misleading when you are applying for a job.  Even if you get the job, you’ll be in trouble later.  There are expected degrees of precision and disclosure in resumes, interviews and job applications.

Aristotle said, “It is the mark of an educated mind to rest satisfied with the degree of precision which the nature of the subject admits and not to seek exactness where only approximation is possible.”

Let’s apply this to your job search.

Resumes:

These are personal advertisements.  You do not need to disclose anything you don’t want to.  That said, lying on a resume is a firing offense.  Moving dates or claiming titles, responsibilities and accomplishments you don’t have are lies. Leaving out irrelevant jobs is fine but don’t move the employment dates around those jobs. Putting a brief and accurate summary of your job responsibilities in place of a title is acceptable because hiring authorities will use the title you put down as a summary anyway.

Interviews:

A lie is any communication given with intent to deceive. You don’t have to confess something unless you are asked about it or know it will normally disqualify you completely.  Don’t lie.  Shrugging your shoulders can be a lie.  The difficult thing is picking the relevance of your revelations. Strive to understand what your interviewers need to know. Give them the short and simple truth.  When your background or claims are checked out, no one will remember precisely how you worded an answer.  You’ll get fired for skirting the truth in an interview.  Be clearly understood.

Applications:

Be precise.  Answer the exact question asked.  Don’t embellish.  Don’t add explanations.  Tell your problems in as few words as possible.  Don’t leave out any jobs on the application.  You can leave them out on the resume, not the application.  On the application they want all your recent jobs. Put your exact and official job title where it asks for it.  Applications demand very exact and precise answers.  Don’t lie by being incredibly precise and misleading.  Be precise and understood.  In many cases your application is never read carefully anyway.

A resume, interview and job application are not the places to try and get away with highly technical definitions. In Dad’s court case the judge was bound by a strict set of laws. When you get a job, your boss and coworkers are going to quickly start calling you a liar if you rely on word tricks.  You may technically have been accurate but you will still get busted.

Do you dare call managers and CEO’s in a company?

No ad is in the papers or on the internet. You want a job there.  So you look up their website and just send a resume.  Right?  Err, okay, but there is a better way.

Calling into the company can get you an interview and a job much more quickly.

Here is what often happens if you just send in your resume without calling:

HR gets the resume and automatically enters it in the database.  No job is available.  Two months later the job opens up.  They do a quick database search.  You might be able to do the job, but it has been 2 months and they have 187 fresh resumes to process.  They know they can just send those resumes to the manager without having to make any calls.  It is so much easier not to call you, why bother?

You see the opening and send your resume again.  The data entry clerk sees it is already in the database.  A flag is already set on your database entry saying you were checked out in this job search.  There is no significant change in your resume.  You are not considered for the job.

Think about it from the manager’s perspective. The ugly normal way is that he knows an opening is coming up.  He’s going to fire or promote someone.  Maybe they have a new project coming up and he’s budgeted for 3 more employees in 2 months. As soon as he tells the Human Resources (HR) department, they will ask him to write job descriptions (2 hours of work).  Then HR will advertise the positions and send him 187 resumes.  He will have his secretary wade through them.  He will then ask HR to call the 7 people he is most interested in.  HR will tell him only 5 can interview with him.  It is only going to get more time consuming from here on out. He hates the process.

One alternative.  He keeps in touch with likely candidates.  He offers those candidates a job and tells HR about his choice.  Which do you think he would rather do?

You need to be that likely candidate.  There is very little competition before a job opening is announced. The time to contact the hiring manager, CFO, controller, COO, or other person involved is BEFORE they need you.

While I worked at EDS a man quit three different times.  Twice he actually left the building and went to work for someone else for a week or two.  He resigned but let his boss know he didn’t want to leave and could be enticed to stay or return.  Each time his boss finally gave him the raise and promotion he wanted. It was blackmail, pure and simple.

By the way, what do you think it did to morale?  Well, everyone started saying, “I’ll have to quit to get a raise or a promotion.”  Some just quietly started looking for another job, never to come back.

So blackmail works. Right?  Sort of.  If you want to work for a company where you have to threaten your boss, yes it works.

Try something a little different.

Get together proof that you deserve a raise.  Put together a dynamite resume that is a list of accomplishments.  Assume your boss knows your responsibilities.  Make a list of provable accomplishments.  Put together a portfolio if you can.  Do a salary survey.  Make sure you believe in it and can prove it.  Get 5 people to write references saying how well you do your job.

With this project you have gathered proof that your boss would hire you for more than he is paying you now.  Go present the proof to your boss and put it in those terms.  Tell him he would have to pay more to hire a replacement, so please pay me more right now. Don’t threaten to quit.  Give him a chance to do the right thing.  No blackmail.

See what he says.  Give him a month or two to come up with a raise and promotion.  If you don’t get it, go ask your boss, again, what he intends to do.  Don’t threaten or plead.  Just find out his intentions.

If he’s not moving, use all that material you gathered to look for a new job.  Don’t blackmail your boss.  Give him a real opportunity to reward you.  If he won’t give you what you deserve, look for a new job. Don’t look back.

 I recommended Ben for a job as a programmer.  He had been programming intensely for 6 years.  He had proof of his skills with C++.  He had produced a video game that was more complex than many in the stores at the time.  I was enthusiastic and said he was a junior, perfect for a 3 month programming job.  The hiring manager agreed to an interview.  I forgot (really just forgot) to mention he was a high school student, not a college student.  The manager, out of courtesy, let the interview go on anyway.  The portfolio (the game), the enthusiasm and knowledge of the kid were so great, that he was hired.  Let’s not forget he was cheap too.

How can a high school junior get a job as a college junior?  It took an enthusiastic mistake and a portfolio.  You can create your own enthusiasm.  See my post about motivating your friends to help. Don’t try to make a mistake, just capitalize on them.  The portfolio is not as easy as it looks.

Your portfolio is separate from your resume.  Your resume is a list of accomplishments. It is a list of what happened because you were at a job, a list of improvements.  Your portfolio is concrete examples of your output.  In marketing it is letters, brochures, ad campaigns and internet links.  In programming it is websites you created or programs that actually run, all with examples of your coding.  Graphics artists often carry a huge folder of their art with them.  Some leaders actually write a book about their performance and get it published.  A network technician can dial in to the five computers in his basement from the interviewer’s office. A writer should have documents he produced.

Put proof in an envelope, on a CD, or in an internet site.  Show what you have done.

Proof can flat out get you hired.  No question about it.  Can you prove what you have done?

Ask your boss what you could put in your portfolio that proves you deserve a raise.  Put together that portfolio and see if he gives you one.  If he doesn’t, show that portfolio to other employers and get a new job.

Resume search optimization – how to get found

How to get your resume seen online could be a book.  That book hasn’t changed in the last 5 years.  Here are the basics:

  1. Include every keyword that is in the job listing
  2. Figure out a way to repeat the most important key words
  3. Resubmit your changed resume occasionally

Keywords are critical

Computerized filters are being used more often. Monster.com has them available for all employers who pay a slight premium.  If your resume does not have every important keyword or acronym, the computer eats it and spits out a form letter. No human sees your resume.

Put a list of certifications, education, software used, tools mastered and techniques employed at the end of the resume.  Include every abbreviation or keyword in the ad.  If you are missing a minor keyword, consider saying at the end of your resume, “I understand CDF and JCL but have never used them.  It may get you past the computer filter.  If you are submitting your resume directly to the hiring manager, you might take the list off.

Repeat important keywords

Your resume will be ranked by keyword usage.  When my query brings back 300 hits, I want to see the most likely resumes first.  I sort on “relevance” and cherry pick the top resumes.  The best way to be ranked highly is to intelligently use the keywords multiple times.

Resubmit your resume

Job boards usually show the most recently submitted resumes first.  If your resume has not been submitted for 3 months, it is at the bottom.  Worse, recruiters may assume you have a job if your resume is that old.  They won’t call you. Refresh your resume every week or two.

Just these three changes may change your invisible resume to a real interview magnet.
